QuickBooks cleanup for QuickBooks Online and Desktop

A messy QuickBooks file usually looks the same: a bank feed nobody has touched in months, a big balance in Uncategorized, and reconciliations that don't tie. A cleanup fixes the file so every account matches the bank and the reports can be trusted again.

Signs your QuickBooks file needs a cleanup

  • The bank balance in QuickBooks doesn't match the bank.
  • Hundreds of transactions wait in the For Review tab of the bank feed.
  • "Uncategorized Expense" or "Ask My Accountant" has a large balance.
  • Undeposited Funds keeps growing because payments were never grouped into deposits.
  • The same transaction appears twice: once from the bank feed, once entered by hand.
  • Open invoices or bills from months ago that were actually paid.
  • Reconciliation reports show a beginning balance that changed after the account was reconciled.

One of these is a quick fix. Several at once usually means the problem goes back months. If months were never entered at all, that's catch-up work, and most files need some of both. See catch-up vs. cleanup.

How a QuickBooks cleanup works

  1. Review the file. Look at the chart of accounts, the bank feed backlog, the reconciliation history, and the catch-all accounts to scope the work.
  2. Fix the chart of accounts. Merge duplicates, deactivate what isn't used, and add what the business actually needs.
  3. Work the bank feed. Match transactions to existing entries before adding new ones, so nothing is recorded twice.
  4. Clear Undeposited Funds and open items. Group payments into the deposits that hit the bank, and close out invoices and bills that were already paid.
  5. Reconcile every account. Bank, credit card, and loan accounts, month by month, until each ties to its statement.
  6. Set up rules and close. Bank rules handle recurring transactions going forward, and a closing date protects the cleaned-up months.

QuickBooks Online or Desktop

The work is the same in both. The difference is access: QuickBooks Online is shared by invitation, while a Desktop file is shared as a backup or an Accountant's Copy. If you're moving from Desktop to Online anyway, clean up during the move rather than carrying old problems into a new file. See QuickBooks Desktop to Online.

What it costs, and how long it takes

The size of the job depends on the months behind, the number of bank and card accounts, the monthly transaction volume, and how much was recorded wrong versus not at all. A rough rule of thumb is about 4 hours of work for every month of backlog. The catch-up cost calculator turns that into a directional number. A real quote comes after someone looks at the actual file.

QuickBooks cleanup: FAQ

What is a QuickBooks cleanup?

A QuickBooks cleanup fixes a file that exists but is wrong: unreconciled accounts, duplicate transactions, a bank feed backlog, balances stuck in Uncategorized or Undeposited Funds, and invoices or bills left open after they were paid. It ends with every account reconciled to its statements.

Do you clean up QuickBooks Desktop files too?

The cleanup steps are the same in QuickBooks Online and Desktop. If you're also moving from Desktop to Online, it's usually best to clean up first, so the conversion carries over balances that are right.

How much does a QuickBooks cleanup cost?

It depends on how many months are behind, how many bank and card accounts are involved, the monthly transaction volume, and how much was recorded wrong rather than not at all. A rough rule of thumb is about 4 hours of work for every month of backlog. A real quote comes after someone looks at the file.

What do you need to start?

Access to the QuickBooks file, bank and card statements for every month in scope, loan statements, payroll reports, and receipts or invoices for anything large or unclear.

What happens after the cleanup?

Without a monthly routine, a QuickBooks file drifts back to where it started. The usual next step is monthly bookkeeping: the bank feed worked, accounts reconciled, and the month closed on a schedule.
